Recognizing the importance of appropriately protecting information that could be used to identify specific individuals ("personal information" hereinafter), the High Pressure Gas Safety Institute of Japan ("KHK" hereinafter) strives to protect personal information pursuant to the following policy.
1.Obtaining personal information
KHK shall obtain personal information through legal and proper means.
2.Use of personal information
(1)KHK shall use personal information only as necessary for the performance of its business operations within the scope of use identified when obtaining the information.
(2)To carry out its business operations efficiently, KHK may subcontract the handling of personal information or jointly use personal information with other parties.
When subcontracting the handling of personal information, KHK shall screen subcontractors, require them to protect personal information through the conclusion of nondisclosure agreements and other means, and supervise them to ensure that they handle personal information appropriately.
When jointly using personal information, KHK shall first disclose the purposes of such use, items of personal information subject to joint use, scope of parties using the information, and persons responsible for joint use.
3.Provision of personal information to third parties
KHK shall neither disclose nor provide personal information to third parties without the prior consent of the individuals concerned, except as required by law.
4.Administration of personal information
(1)KHK shall maintain the accuracy of personal information and administer it appropriately.
(2)KHK shall employ appropriate administration to prevent loss, unauthorized alteration, and leakage of personal information.
5.Disclosure, correction, suspension of use, and deletion of personal information
KHK shall establish procedures for the purposes of disclosure, correction, suspension of use, and deletion of personal information in its possession and shall respond promptly when these measures have been requested.
6.Organization, structure
(1)KHK shall appoint a Privacy Manager to manage personal information appropriately.
(2)KHK shall educate its management and employees concerning the protection of personal information and methods of managing it appropriately and ensure that personal information is handled appropriately in everyday business operations.
7.Formulation, implementation, maintenance, and improvement of rules on protection of personal information
To implement this Policy, KHK shall establish a privacy compliance program (including this Policy, rules on protection of personal information, and other rules, detailed rules, etc.), ensure that its members of management and employees know about and understand it, and implement, maintain, and continuously improve it.
